Choosing the right real estate professional is one of the most important decisions you’ll make when buying or selling a home.

Over the past several years, real estate teams have exploded in popularity. Some teams consist of just a couple of agents, while others include dozens of agents plus administrative, marketing, and closing staff. At the same time, there are still many exceptional solo Realtors who handle every step of the process personally from start to finish.

The challenge for many buyers and sellers is understanding the real-world differences between working with an individual agent versus a team, and how those differences impact communication, service, and results. It’s also critical to be clear on who you’ll actually work with day to day once the contract is signed.

A solo real estate agent is exactly what it sounds like — one licensed professional who personally guides you from start to finish.

If you’re hiring a solo listing agent, you can typically expect them to:

  • Prepare and review your comparative market analysis (CMA)
  • Coordinate photos, video, and listing launch
  • Handle showings feedback, offers, negotiations, and contract details
  • Manage the process all the way through closing

If you’re hiring a solo buyer’s agent, they’ll usually:

  • Help you understand the step-by-step home buying process
  • Schedule and host private showings
  • Prepare, explain, and present your purchase offers
  • Coordinate inspections, appraisal, and any repairs
  • Monitor key deadlines like mortgage commitment and closing

Many top solo agents rely on strong systems and CRMs (customer relationship management tools) to stay organized and on top of every detail for each client.

Real Estate Teams

A real estate team can range from a couple of agents who collaborate closely to a large group with clearly defined roles and multiple staff members. A team might include:

  • Lead listing agents and buyer specialists
  • Showing agents
  • Transaction or closing coordinators
  • Marketing coordinators and administrative assistants

How a team works with clients can vary widely. In some teams, you primarily interact with the team leader. In others, you’ll be handed off to a buyer’s agent or closing coordinator after the initial appointment. That’s why it’s critical to ask exactly who you’ll be working with on a day-to-day basis before you hire them.

For example, if you think you’re hiring a well-known team leader to help you buy a home, you don’t want to discover after signing paperwork that you’ll never actually see or hear from that person again because they don’t personally work with buyers.

For example, if you’re buying a home in a strong sellers market and a great property hits the market, you may need to see it quickly. If your solo agent is fully booked for the next 48 hours and doesn’t have trusted coverage, you could miss out.

That said, many efficient solo agents are excellent at managing their schedules and using systems so they can comfortably work with 15–20 clients at a time. When interviewing solo agents, ask how they handle scheduling, showing coverage, and vacations so you know what to expect.

If your schedule is very tight or you’re buying in a highly competitive price range, availability should be a key factor in your decision.

Multiple Professionals for the Same Price

One of the biggest selling points of real estate teams is that you often get several professionals for the same commission you’d pay a solo agent. Depending on the team structure, you might have access to:

  • A dedicated listing specialist
  • Buyer’s agents or showing specialists
  • Transaction/closing coordinators
  • Marketing and social media staff
  • Administrative support

When a team is run well, everyone stays in their lane and focuses on what they do best, which can create a very efficient client experience.

Ability to Delegate and Systematize Tasks

Many teams have detailed systems and checklists in place for everything from listing preparation to transaction management. Tasks can be delegated to the person best equipped to handle them, which can free your primary agent to focus more on strategy and negotiation.

For example, if a team has a strong in-house marketing professional, you can feel confident they understand the right marketing strategies to sell your home — professional photography, video, digital advertising, and more.

In busy seasons, teams can sometimes accommodate more showings and appointments because multiple licensed agents can be out in the field at once.

Greater Risk of Communication Breakdowns

The Team Leader May “Disappear”

Unfortunately, one of the biggest complaints some consumers have about teams is that the well-known team leader seems heavily involved before the contract is signed — and then is nearly invisible once you become a client.

In some cases, the team leader focuses almost exclusively on lead generation and delegates all client work to other agents. While that can work if expectations are clear, it can also feel like a bait-and-switch if you believed you’d be working with the team leader personally.

Always ask: “Who will I be speaking with and seeing the most once we decide to work together?” If you’re not comfortable with the answer, keep interviewing.

Remember: You’re Hiring an Agent, Not Just a Company or Team Name

One of the most persistent myths in real estate is that the company name or team size matters more than the individual agent you’ll actually work with. It doesn’t.

Agents within the same office or team can have very different:

  • Work ethics and responsiveness
  • Marketing skills and systems
  • Negotiation experience and style
  • Knowledge of your specific neighborhood or property type

If the agent you want to work with doesn’t personally handle buyers or sellers anymore and plans to hand you off to someone else, that’s a big clue your needs might be better served elsewhere — whether that’s a different team or a strong solo agent.

When you interview a Realtor to sell your home, ask for a detailed marketing plan that covers:

  • Social media and email marketing
  • Open house and showing strategies (if appropriate)

Whether you choose a solo agent or a team, make sure the marketing strategy fits your home, price range, and local market conditions.

Understand How Communication Will Work

  • Who will be my primary point of contact?
  • How quickly do you typically respond to calls, texts, or emails?
  • Who do I contact for showings, offers, and questions about closing dates?

With a solo agent, the answer is usually straightforward: everything goes through them. With a team, it might involve multiple people — which is fine if it’s clearly explained and well-managed.

If you’re confused by the communication structure or can’t get a clear answer, that’s a red flag. It’s better to keep looking than to discover halfway through the process that no one seems to be on the same page.
